Pricing

Pricing is quoted on a ‘per day’ basis (24 hour period).
Collision Damage Waiver and Theft Protection Waiver hereinafter called CDW and TPW respectively, is cover limiting the customer’s liability for damage to or theft of the rental vehicle. The level of liability is the amount known as the insurance excess which can differ depending upon the type of vehicle, method of payment and customer’s age.
CDW and TP will not apply if the terms of the rental have been broken.

Vehicle Group/Model
The group is indicated in the top  of the vehicle image. The group will print on your reservation.

Reservations are confirmed for a group and not a particular model unless shown otherwise. We are unable to guarantee a particular make/model or fuel type unless a guaranteed model group has been booked.
The vehicle shown on any documentation is for guidance only and may be substituted with an alternative, similar or upgraded vehicle at our discretion.

Model groups described as “or similar” are not guaranteed, only model groups described as “make model guaranteed” are guaranteed model groups.

Vehicle Condition
Vehicles must be returned to the location/drop off point in the same condition as when it was picked up/delivered. It is the responsibility of the customer to ensure that the vehicle is thoroughly checked prior to taking custody of the vehicle.

The client accepts responsibility for taking due care and attention of the vehicle. Failure to do so and loss or damage to the interior of the vehicle is deemed negligent and nullifies the insurance, the excess and any waivers taken. The client becomes responsible for all costs incurred.

Whilst in charge of the vehicle the client accepts responsibility for maintaining the roadworthiness of the vehicle and agrees to take remedial action to avoid unnecessary cost/damage. This will include maintaining oil levels, tire pressures and other common sense actions to maintain the vehicle if before authorized. Costs will generally be covered only if it’s authorized in advance from the rental branch.

Renter returns the vehicle in a clean condition (normal wear and tear excepted). If the vehicle is exceptionally dirty upon return or if there is damage to the seats, seat upholstery or the carpets an additional charge for deep cleaning will apply. This charge will be dependent upon the actual state of the vehicle when returned.
Any damage caused to the vehicle, if returned out of hours, is the responsibility of the hirer until our staffs have checked in the vehicle.

Please be aware for cigarette burns in the interior of the vehicle. We suggest that animals will be transported contained in our vehicle. A valeting fee may be applied to rectify any soiling due to smoking or animal transportation.

Voucher
A copy of your voucher must be produced upon arrival at the rental desk. Failure to present the voucher means the car rental agent may charge you at the local rates. Please note: We are not responsible for overcharges on rentals where the voucher was not presented to the local agent on collection of the vehicle. If you do not present the required documents, the documentation is not valid or you do not have enough funds on your credit card, the car rental agent may refuse to release the vehicle and no funds will be reimbursed

Methods of Payment / Preauthorisation
Olympic Rentals locations accept all major credit and debit cards for payments. Diners Club cards are not accepted.

A valid credit card only is accepted for pre-authorisation. Credit Cards should be in the driver’s name.

The deposit amount will no longer be available for immediate use and may take up to 14 working days after the drop off of the car, depending on bank, to become available. Car rental will not be responsible for any returned check(s) or insufficient fund charges or bank fees related to this process.

Accepted cards for Preauthorisation: MasterCard, Visa (not Debit), American Express.

Unaccepted cards for Preauthorisation: Pre-paid credit cards, Debit or Switch cards, Laser, Maestro, Electron, UnionPay, Diners Club cards, virtual cards.

Cheques are normally not acceptable for preauthorisation. Please contact with the local office.
In the event that a customer fails to present a valid credit card or there is a lack of sufficient funds available on the credit card, the car rental agent may refuse the release of the vehicle. In these instances, no funds paid will be reimbursed.

In the event of upgrade to car group with higher excess than that mentioned in voucher, the local office will preauthorise the excess amount of the greater car. For luxury cars two credit cards are required for preauthorisation.

For rental durations that exceed 15 days, the rental company may deduct the excess from your credit card instead of pre-authorise, as a pre-authorisation only lasts for a certain amount of time before expiring.

Fuel Policy
We provide  Fair Fuel Policy (same-same). Return the rented vehicle with the same level of fuel as on collection.
Your vehicle will be supplied with full tank or part-full tank (quarter tank full or higher). At the time of pick up the level of fuel will be marked on your agreement.
To avoid incurring fuel charges you will need to return at the same level as it was supplied. Missing fuel will be charged on your return. The price per litre charged by the rental agent may be higher than the price at the local service station.
If car is dropped off with less fuel, the customer will be charged for refuelling service. Cost of refuelling service is 15€ VAT included. Local office would not refund customers who return the vehicle with more fuel than expected

Conditions of Optional Extras
Please note the price of optional extras is subject to change without notice. The optional extras are subject to availability.

Daily charge per unit:
Booster: Free
Baby seat/Infant seat: 5€, max 35€, VAT included
Sat. Navigator/GPS: 10€, max 60€, VAT Included
Daily charge per driver:
Additional driver: 5€, max 50€, VAT included
YDS(Young Driver Surcharge): 10€ or 20€  VAT included
SDS (Senior Driver Surcharge): 10€  or 20€ VAT included
Proper use of optional extras
Customer should return the extras rented locally in the same condition. Any traffic fines or charges for non proper use of mobile phone, GPS navigators, or other electronic devices, is under responsibility of the driver or/and the additional drivers.
The use of rear facing infant seat for babies under 12 months old, baby seat for children under 5 years old and baby seat or booster for children under or up to 6 years old is mandatory. Parents or legal guardians are responsible for the correct use of baby seats/boosters. Smoking and electronic cigarette are forbidden by Greek law if there are children under 12 years old into vehicle’s cabin.
Optional extras and services are not refundable.

Additional Drivers
Additional drivers are allowed, at a cost of 5€/day VAT included
Multiple additional drivers may apply if requested.

Insurance
Collision Damage Waiver (CDW) limits the driver’s liability in the event that the rental car is damaged, subject to the terms and conditions of the rental agreement.
Rather than the full cost, the driver is generally only responsible for the first portion, known as their ‘excess’. This protection applies to all authorised drivers of the rental car. CDW normally does not include glass, tires, wheels and the underneath of the vehicle.
Theft Waiver (TW) or TP limits the driver’s liability for costs incurred by the theft of the rental car – or damage incurred by the theft or attempted theft – to an ‘excess’ amount, subject to the terms of the rental agreement. TW does not cover personal belongings.

The local office may provide you the option for FCI (Fully Comprehensive Insurance) that reduces or removes your excess amount.

Depending on the insurance purchased, you may still be held responsible for damage to or loss of tires, windscreens, glass and undercarriage. Please check details with the car rental agent on arrival. Standard insurance policies normally exclude car parts such as windscreens, antenna, glasses, mirrors, wheels, tires, undercarriage, locks, roof and interior. Moreover things as towing charges, extra equipment purchased locally and personal belongings. Other exceptions include accidents caused by off road driving, refuelling errors or other damages caused intentionally or by negligence. No insurance covers damages caused as a result of infringement of Road Code Circulation or breach of the Rental Agreement’s Terms and Conditions. The Accident Statement/Report should always be supplemented so that the insurances’ covers will be in effect.
Regarding the car group, you may have the option to extend the FCI insurance for some specific parts they normally are not included like tires or glasses. WUG (Tire, Undercarriage and Glass Coverage) insurance may be available from the local office.
If you purchase Excess Cover Insurance or similar services from a third party, the credit card holder will be required to present his/her credit card at the rental desk in order for the car rental agent to authorize the deposit. The credit card used should be owned by the driver of the car.

One Way Rentals/Drop off in different station
The return of the car to a location different to the one agreed at the time of car pick up –if permitted-, will incur a minimum charge of  20€ VAT included
There is a standard rate sheet for the most popular one way rentals. Please contact with the local office for further information.
If the one way service is permitted by the rental office but the charge is not determined, the cost per km is calculated to 0.60€/km VAT included approximately for mini or supermini-economy cars. One way rental in not available for locations where the selected car group is not available.
Minimum charge: 20€ VAT included

Rental Extensions
Please note that it may not always be possible for the hiring branch to extend the hire. Where the branch agrees to extend the hire, the rental will be charged at the prevailing rate which may be higher or lower than the original booking rate.
If renter wants to prolong the rental period of vehicle, he has to notify to the local office in writing at least 24 hours before the end of the period to receive the respective written approval. If he fails to do so he will have both civil and penal liability for illegal use and possession of vehicle.

Non-authorized rental extension
Penalty above the rental charge and the driver will be black listed (declined for future bookings) Charges are detailed in the damage matrix available at the rental counter.

Early Returns/Unused Rental Days
No refunds (partial or full) will be given for rentals ended early, late collections, no shows or cancellations made after the rental start date.

Late Returns
A vehicle is hired for a contracted period as detailed on the rental agreement. There is a grace period of 1 hour at the end of a hire after which an extra day hire will automatically be charged.

After the grace period Olympic Rentals will class the booking as a late return and additional charges will be due. The prevailing daily rate will apply and will include any billable optional extras such as baby seats, additional drivers or damage waivers. The charge will be applied to the card used for security deposit at the start of the hire.

Amendments
Reservation amendments must be requested in writing, fax or email at least 24 hours prior to the start of your rental. Please note that telephone amendments will not be accepted. An amendment request is not assured and amendments will be treated as a new booking.

Driver License Requirements
A full license held for minimum of 1 years with no major endorsements. UK license holders need to present the photocard.
If your driver’s licence is not from a member state of the EU or UK  it is required to show an International Driving Permit and your domestic licence. For driving licences from countries not part of the international driving licence treaty, an official translation of the licence must be presented with the original licence.
In the event that a customer arrives at the rental desk without the necessary documentation as stated above, the booking will be cancelled. In these cases, there will be no refund.

In addition to the stated requirements, the hirer of the vehicle is solely responsible to ensure that their licence is valid for use in the respective country and it remains the responsibility of the hirer to determine whether an International Driving Permit is required by local law. Failure to provide a valid licence and IDP permit (as required) will result in a non-refundable termination of the reservation at the rental counter

Driver Age & Restrictions

The minimum age allowed for a driver is 21 years with the young driver surcharge (YDS) and 23 or 25 without it, regarding the car group. The maximum age is 64 without a surcharge, drivers who are 65+ will be subject to the senior driver surcharge.
One year of minimum driving experience is required for all groups. For premium or luxury cars and vans two years of experience are required.
-For vehicle groups A,B,C,D,E,F and I the minimum age is 21 or 20 with YDS (10€ VAT included)
-For vehicle groups K,H the minimum age is 24or 23 with YDS (10€ VAT included)
-For vehicle groups G,L the minimum age is 27 or 26 with YDS (15€ VAT included) or 24 with YDS+ (20€ VAT Included).

YDS/SDS is not included in the rental price. It is paid in the locally on pick up.

Opening Hours
Most locations are open from 08:30 to 21:00.
Please view the Olympic Rentals Locations List for local opening hours. Locations may be closed for pickups and returns on public holidays. Please check at time of booking with the local office.

Out of Hour’s Service
Out of Hours reservations will incur a cost of 20€ VAT included. Not  waivable. Grace time during OOH is 1 hour.

Delayed Collections
In the event that a customer experiences flight delays and no flight number is provided then the availability of the car is not guaranteed after the grace period and the location may close without notice.

Reservations from 08:30 until 21:00 will be held for 2 hours from the specified reservation time after which they will be classed as a No-Show. If a client arrives after this time then a vehicle is not assured. We will do everything in our power to provide a vehicle, this may include offering a different vehicle and rates may be different to the original booking. Grace period for late bookings (21:00 until 08:00) is 1 hour.

If no flight number is provided then the reservations will be held for 2 hours or until the location closes. Staff will not wait after closing time where no flight number is provided.

At downtown locations a reservation will be held for 2 hours or until closing time whichever is first. Staff will not wait after closing time.

Flight diversions will be treated as a No Show at the original location and a booking cannot be assumed to be transferred.

No refunds will be given for rentals ended early, late collections, no shows or cancellations made after the rental start date, even if cancellation protection is taken.

Smoking Policy
Olympic Rentals operate a no smoking policy for all vehicles. If you have smoked or allowed smoking within the vehicle charges will apply. This includes allowing cigarette (or cigar) smoke or ash into the vehicle, which would imply the above. Charges are detailed in the damage matrix available at the rental counter.

Animals in our vehicles
We request no animals are transported in our vehicle unless contained. A valeting fee may be applied to rectify any soiling due to animal transportation. Charges are detailed in the damage matrix available at the rental counter.

Delivery and Collection
A delivery and collection service may be available within normal opening hours. Charges will apply. Please contact the location for details.

Returns/Parking Fee
All vehicles should be returned at the local office carpark or the location mentioned by the rental agreement. The drop off at public parking, hotel, or other area without the written permission of the local office will incur a Parking Fee. The charge will be calculated as the Administration Fee (25€ VAT included) plus the distance from the station (0.60/km VAT included) The renter will be responsible for any parking fines or other charges incurred by Police or the local authorities.

Travel Restrictions
Ferry use is notallowed without permission. If you are interested using ferry boat, please let us know at the time of pickup. If you are interested for one way rental you should inform the local office at least 5 days prior the collection of the car. Customers should inform the local office about the island they intend to visit.

If the car is broke-down in an island not mentioned in the rental agreement and without written permission, the company is not responsible to replace the car in case of an accident during the standard 24 hours. The customer is obliged to return the car in the location at date and time according the rental agreement.

Cross border is not permitted. International travel without notice and written permission by Olympic Rentals is forbidden and then the insurance deemed void.

Roadside Assistance
Breakdown cover is included in our rates. Relevant contact details and roadside assistance procedures will be given prior to the commencement of the hire. Dependant on the circumstances we reserve the right not to provide a replacement vehicle. Road assistance may not available for renters they used ferry boat without written permission by the local office.

Accident/Immobilization
In case of an accident or other incident, renter or additional driver should immediately inform the car rental company. If there is a third party, renter should also call the police. Renter should bring a Police report to the local office if there is a damage or a missing/stolen car part. The police report should be completed and sent to local office up to 24 hours after the accident/incident.
The car rental would replace the damaged car with similar depending on the availability and the distance from the closest station. If an accident occurred by customer’s fault, the local office will charge immobilization charge and car replacement fee, loss of use, administration fee or/and towing and transfer of the vehicle. The above charges may exceed the corresponding CDW excess amount and are not refundable.

Immobilization fee: Cost of immobilization of a vehicle. Immobilization charges will be occurred if a car replacement or car inspection was made by customer’s negligence and not due to break down of the rented car.

Replacement fee: The charge is determined as 0.60€/km approximately including taxes and possible other charges (i.e. towing, ferry transfer, tolls, etc) depending on the location the damaged car is.

Theft and Liability Insurance
Theft Excess is equal with CDW for each car group.
Maximum of approx.  1,220,000.00 € for personal injury.
Maximum of approx  1,220,000.00 € for property.
Liability insurance included in all rates.
Lost Keys
Olympic Rentals will charge if keys are lost or damaged. Please note that if a vehicle is stolen and keys are not returned to the rental location, the hirer will be deemed negligent and insurance is deemed void. Lost keys are deemed as negligence and are not covered under the insurance excess or risk reduction packages. Drivers will be liable for all costs relating to recovery, loss of use, replacement car and repair. This list is not exhaustive.

Transport via Ferry
Vehicles are permitted on ferries only after prior request by client and written approval by Olympic Rentals Greece. Use of ferry without notice is forbidden and is considered as negligence that voids the insurance.

Vehicle should be returned in the initial receipt station. Otherwise, the regular debits of One Way Fee are in effect with the additional charge of compensation of ticket of return in the initial destination. When Ferry approval is not given but the customer takes the risk of using it without prior notice, the customer may be fully responsible for the replacement charges and transfer/towing expenses.

The renter is fully responsible for damages or other charges caused in Greek islands if he used ferry without notice and written approval by the local office. Road assistance and replacement car may not be available if ferry was used without permission. Even if ferry transfer is taken, road assistance in some islands especially where Olympic Rentals has no local offices, is not guaranteed. Please contact with local office.

Fines, Penalties and Administration Charges
It is the responsibility of each hirer to cover the cost of any parking fines and traffic violations. When fines or traffic violations occur and a Olympic Rentals location is involved in administering the violation an administration fee will be charged. Administration fee: 35€ VAT included (non waivable)

Complaints
All complaints should be made in writing either through our Online Contact Form found on our Contact Us page or via email to info@olympicrentals.net within 30 days from the last day of your rental. Whilst we do try to resolve all cases brought to our attention, those raised after this period may not be considered. If at any point during the investigation process communication ceases for a period of more than 30 days, the case will be considered closed and no further action will be taken

Some of our vehicles contain tracking devices which will be used in accordance with our data protection policy.

GDPR
All information relating to privacy and data protection when using a Olympic Rentals service will be contained on our privacy policy which is located on our website – www.olympicrentals.net/privacy

Cancellation Policy
Cancellation of your reservation should be made in writing at least 24 hours prior to the start of your rental, or cancelled through your account on the Olympic Rentals website. Please note that telephone cancellations will not be accepted.

Cancellation Administration Charge

For pay on arrival reservations made online, the no-show/cancellation fee will equal the pre-paid amount and no refund will be due.
All prepaid reservations will be subject to a minimum cancellation fee of 15€.

The refund amount for cancellations will be calculated in line with the below:

Cancellation notification sent 7 or more days before the start date: the prepaid amount will be refunded minus a €15 admin fee.
Cancellation notification sent 3-6 days before the start date: 50% of the prepaid amount will be refunded.
Cancellation notification sent 2 days before the start date: 25% of the prepaid amount will be refunded.
Cancellation notification sent 0-1 days before the start date: no refund due.

For any bookings where the prepaid amount is less than €15, there will be no refund due regardless of when the cancellation request was made.

The notice period is based on a day being a 24 hour period, up to the start time, not a calendar day.

General Terms
All bookings are subject to our terms and conditions. Greek law applies to agreements made on the basis of the terms cited above. The VAT  is 24%.

Olympic Rentals will not be held responsible for anyone driving under the influence of alcohol or drugs causing willful damage, off road driving or driving without due care and attention. The vehicle should be used only by the renter or other additional drivers mentioned on the rental agreement. The vehicle is prohibited to be used, for infringement of provisions of the Greek Road Circulation Code, for purposes opposite to the Greek laws, for towing other vehicles, in order to transport heavy objects or baggage, flammable materials, or smelly objects, to be used outside asphalt road network, under the influence of alcohol, narcotic or toxic substances, for transportation via boats or cross border rentals without a prior written permission. This list is non-exhaustive.

The customer will accept responsibility in respect of such claims.

When fully comprehensive insurance is taken it is to provide the customer with entitlement to drive and covers the vehicle in the event of an accident. In the case where a customer is found negligent Olympic Rentals reserve the right to pursue the customer for the recovery of all losses incurred.

Olympic Rentals makes all efforts to ensure that all information provided is correct at the time of booking. Furthermore, the customer by signing the rental agreement agrees to adhere to our conditions at the time of collection of the vehicle and for the duration of the rental. CDW and TP will not apply if the terms of the rental have been broken.

Booking confirmation vouchers will be issued to the customers via email. All transactions are subject to VAT. If VAT invoices are required, these would need to be issued directly by the location servicing the rental once the booking has been serviced.
